    Reports to: People & Business Manager

    We are seeking a friendly organized and professional ambassador to join our dynamic events catering business. As the first point of contact for our clients guests and vendors you will play a crucial role in delivering exceptional customer service and ensuring smooth operations within our organization. Your primary responsibility will be to manage the reception area and provide administrative support to various departments.     Responsibilities:
    • Greet and welcome clients guests and vendors in a warm and professional manner.
    • Answer and direct incoming calls and emails ensuring prompt and accurate responses.
    • Manage the reception area including maintaining a clean and organized workspace arranging seating and ensuring a welcoming atmosphere.
    • Provide accurate information about our services products and events to clients and guests.
    • Schedule appointments and manage calendars for executives and other team members.
    • Coordinate and manage incoming and outgoing mail packages and deliveries.
    • Assist with office visit planning and coordination including managing RSVPs guest lists and related administrative tasks.
    • Collaborate with various departments to ensure seamless communication and coordination of tasks.
    • Maintain office supplies inventory and place orders when necessary.
    • Assist with basic bookkeeping tasks such as processing invoices and payments.
    • Perform general clerical duties such as photocopying scanning filing and data entry.
    • Help maintain electronic and paperbased filing systems.
    • Handle customer inquiries concerns and complaints in a professional and timely manner.
    • Uphold company policies and procedures ensuring compliance with confidentiality guidelines.

    Requirements

    • Bachelors degree or equivalent; additional certification in office administration or relevant field is a plus.
    • Nearnative fluency in English and/or French
    • 13 years of work experience as a receptionist front office representative or similar role.
    • Excellent verbal and written communication skills.
    • Professional and friendly demeanor with exceptional customer service skills.
    • Strong organizational and multitasking abilities with keen attention to detail.
    • Proficient in using office software including Microsoft Office Suite (Word Excel Outlook).
    • Familiarity with office equipment (e.g. printers scanners etc).
    • Ability to maintain a high level of professionalism and confidentiality.
    • Outstanding time management skills with the ability to prioritize tasks effectively.
    • Flexibility to work evenings and weekends as required to support events.
